Sole trader accounts kept straight all year for a fixed fee

Sole trader accounts are usually what people ring us about first, often in the week the Self Assessment deadline lands. We take them off your desk and keep them current all year, so January is quiet.

Most people who call us have an accountant who takes a week to answer, or a box of receipts they have been avoiding since the summer. We agree the fee before we start, we never bill for a phone call, and tax investigation cover is included free for every client.

In one lineSupreme Consultants is an AAT licensed accountancy practice in Cardiff Bay that prepares sole trader accounts and Self Assessment returns for self-employed people across South Wales. Work is done on a fixed monthly fee agreed before it starts, for ongoing clients only, with tax investigation cover included free.

Are your sole trader accounts in good hands? Three questions.

Answer by button and we will tell you where you stand.

Question 1 of 3

Does your accountant reply the same working day?

What you get

Tax investigation cover included free

Every client has it at no extra cost, because we carry it ourselves. Every HMRC investigation we have handled, we have won.

A reply the same working day

Ring us when the July payment on account makes no sense to you. Calls, meetings and emails never appear on the invoice.

Someone who knows the Welsh rules

We found a Cardiff shop owner still paying full business rates through Covid because the council required an application, and recovered £10,000 for him.

What sole traders tell us when they first call

These are the three we hear most in the months before the January deadline.

  • “There is a carrier bag of receipts under my desk and the deadline is six weeks away.”

Receipts that get typed up in a rush in January miss the mileage, the tools and the home office claim. That is tax paid on money you never kept.

  • “My return was filed, then a bill for July turned up and nobody had told me about it.”

Payments on account surprise people every summer. Set too high, they sit there for a year taking cash out of the business.

  • “I emailed about buying a van nine days ago and I still have not had an answer.”

He bought it anyway, in the wrong month and the wrong way, and lost the timing on the relief.

  • What changes once we take it on

Your records go in monthly instead of once a year, so the figures are built as you trade. Every deadline for the year is diarised and we chase you, not the other way round. You ask the small questions when they come up, which is where the money usually gets saved.

How a once-a-year return compares with ongoing accounts

Both get a return filed. Only one of them changes what you pay.

A once-a-year tax return

Records are typed up in January from a bag of paper.

The fee moves with how long it takes.

Questions in June wait, or come with an invoice.

An HMRC letter is a separate piece of work.

With Supreme Consultants

Bookkeeping goes in monthly and the figures build as you trade.

A fixed fee agreed before we start.

Calls, meetings and emails are never charged for.

Tax investigation cover is included free for every client.

Eight questions about how your accounts are run now

Answer these honestly and you will know whether your set-up is holding up.

  • Are your records written up monthly rather than once a year?

Monthly records catch the small claims that memory loses by January.

  • Do you know what you owe before the bill arrives?

You should know the figure months ahead, with the July payment included.

  • Has anyone checked whether your payments on account are too high?

Filing early can reduce them where your profit has dropped.

  • Are you claiming mileage, tools and use of home correctly?

These three are the ones most often left off a rushed return.

  • Do you know whether Making Tax Digital applies to you yet?

The income threshold decides when quarterly updates start for you.

  • If HMRC wrote to you, would someone answer it for you?

Our cover is included free for every client, so the letter is ours to handle.

  • Does your fee stay the same whatever you ask?

Ours does, because calls, meetings and emails are never billed.

  • Could you get hold of your accountant today if you needed to?

We reply the same working day, and tell you when if the answer needs longer.

What we do for your sole trader accounts

Your year-end accounts
Income and expenses prepared properly from your records, with the capital allowances and expense claims you are entitled to. You see the figures before anything is filed.

VAT and Making Tax Digital
Returns filed on time where you are registered, and we tell you when quarterly reporting starts to apply to you.
HMRC letters answered
If a check or an enquiry lands, we deal with HMRC directly. Tax investigation cover is included free for every client.

What a same working day reply is worth to a sole trader

A self-employed tradesman came to us after waiting over a week for answers from his previous firm. He had stopped asking anything at all, which is how three years of small claims went unmade.

Clients described by type. Names withheld.

Same working dayreply, every time, and no invoice for the call
How it was found
He rang about a vehicle purchase at four in the afternoon and had an answer before he left site.
What happened
He now asks before he spends, and the claims go in the year they belong to.

I just want to say a big thank you to Mudassir for all the advice, guidance and help he has provided whilst dealing with my accounts and tax returns. From start to finish the service has been excellent and professional. Unlike other accountancy firms they provide a friendly personalised service, I was very clear on the process and was even provided with additional guidance where needed. Highly recommended!

How switching to us works

You say yes and we do the rest, including the awkward conversation with your current accountant.

  1. Before you join

    A free introductory chat

Tell us where things stand and we will be straight about whether we are the right fit. If we cannot genuinely help, we will say so.

  2. Week one

    Fee agreed and records requested

We complete your ID checks, put the fixed fee in writing, and send professional clearance to your existing accountant so they hand over your records.

  3. First month

    Your HMRC position reviewed

We get appointed as your agent and go through your past returns and HMRC record. This is where missed reliefs, payments on account set too high and appealable penalties turn up.

  4. By ninety days

    Every deadline mapped for you

Self Assessment, VAT and payroll where they apply, all diarised for the year ahead. We also tidy up your bookkeeping so the figures build monthly.

Who we are not right for

We do not take on Construction Industry Scheme subcontractors.

We do not do one-off Self Assessment or capital gains returns, only ongoing clients.

We do not take on businesses already late into an HMRC investigation, or charities.

If none of those describe you, run the check and we will come back the same working day.

Sole trader accounts: questions people ask

How much do sole trader accounts cost?

You pay a fixed monthly fee, agreed in writing before any work starts. The figure depends on your turnover, whether you are VAT registered, how many transactions you have and how tidy your records are. We quote it after the introductory chat rather than guess at it. Calls, meetings and emails are never charged for.

Can I switch accountants part way through the tax year?

Yes, and most people do. We send the professional clearance letter to your current accountant so you do not have to have that conversation, get authorised as your agent with HMRC, and bring your records across. Migration to Xero costs you nothing. From your side it is mostly a matter of saying yes.

What happens if HMRC opens a check into my return?

We deal with HMRC for you. Tax investigation cover is included free for every client we look after, because we carry it ourselves rather than selling it as an add-on. Every HMRC investigation this firm has handled, it has won. Bring us in early and there is far more we can do.

Do I have to change my bookkeeping software?

No. If you are happy on what you use, we work with it. If you want to move to Xero we migrate you across at no charge, set it up and show you the handful of things you actually need to do. Plenty of our sole traders use a spreadsheet and that is fine.

Do sole trader accounts get filed at Companies House?

No. As a sole trader there is no filing at Companies House and no public accounts. Your figures go into your Self Assessment return to HMRC, and you keep the underlying records for five years after the filing deadline. We prepare a proper set of accounts anyway, because lenders and landlords ask for them.

Can you just do my tax return for one year?

No. We only work with clients on an ongoing basis, so the accounts are kept through the year rather than typed up each January. That is how the missed claims and the payments on account set too high get picked up. If you want a single return filed, we are not the right firm.
