Accountants for convenience stores who answer the phone and fix the fee

Accountants for convenience stores get called about the same three things: the VAT letter on the mat, the till takings that will not reconcile, and the payroll run for weekend staff.

Most shop owners we meet have an accountant they cannot get hold of and a bill nobody explained. We agree the fee in writing before we start, reply the same working day, and include tax investigation cover free for every client. Every HMRC investigation we have handled, we have won.

In one lineSupreme Consultants is an AAT licensed accountancy practice in Cardiff Bay that handles VAT, bookkeeping, payroll, accounts and corporation tax for convenience store owners across South Wales. Fees are fixed and agreed in writing before work starts, and tax investigation cover is included free for every client.

Is your shop’s accounting in good hands? Three questions.

Three buttons, no email, and you see where you stand straight away.

Question 1 of 3

Does your accountant reply the same working day?

What you get

Tax investigation cover included free

We cover it ourselves for every client, where other firms sell it as an add-on. When HMRC writes, we answer the letter.

A fee you know before we start

A fixed fee agreed in writing. Ring us when the till roll does not add up and the call costs nothing.

Numbers in time for the second shop

Monthly figures show which site earns and which drags, so you sign the next lease knowing what it has to cover.

What shop owners tell us when they first call

These are the three lines we hear most often from convenience store owners in South Wales.

  • “The VAT letter came in August and my accountant still has not rung me back about it.”

Three weeks of not knowing, and a surcharge that could have been appealed inside the deadline.

  • “There is a carrier bag of supplier invoices behind the till and I open it in January.”

A year of purchases rebuilt in a hurry, with VAT on stock left unclaimed.

  • “I was invoiced for a ten minute phone call, so now I just do not ring him.”

The questions that save money never get asked, and small problems turn into HMRC letters.

  • What changes once we take it on

Your VAT, payroll, bookkeeping, accounts and corporation tax sit with one firm on one fixed fee. Every deadline for the year ahead is diarised by us, so you are not the one chasing. You call when something looks wrong and get an answer the same working day.

How this differs from a general practice doing your year end

Plenty of firms do good year end work for shops. The difference is what happens in between.

A general practice doing your year end

Accounts arrive nine months after the shop year closed.

Calls and emails appear on the invoice.

Investigation cover sold as a yearly add-on.

VAT treatment of mixed stock checked once a year.

With Supreme Consultants

Monthly figures you can price stock and staff against.

A fixed fee agreed in writing, calls never billed.

Investigation cover included free for every client.

VAT reviewed every quarter against your till data.

Eight questions about how your shop is run

Answer these honestly before your next VAT quarter closes.

  • Do you know your VAT split between zero rated groceries and standard rated lines?

Getting the split wrong on confectionery and hot food is the most common correction we make.

  • Does your till data reach your bookkeeping without being retyped?

Retyping weekly Z readings is where takings and banking stop agreeing.

  • Have you checked you are getting the retail rates relief you qualify for?

In Wales some relief needs an application, and nobody writes to tell you.

  • Is every member of weekend staff on payroll and assessed for auto-enrolment?

Casual till cover is the thing HMRC asks about most in a shop check.

  • Do you claim the VAT on supplier invoices that arrive loose with deliveries?

Loose delivery notes left in the stockroom are unclaimed VAT sitting on a shelf.

  • Do you know what each shop makes after staff and stock losses?

Without monthly figures a second site is signed on hope rather than numbers.

  • Is your shrinkage and wastage recorded anywhere other than in your head?

Unrecorded wastage makes your gross margin look wrong to HMRC.

  • If an HMRC letter arrived on Monday, do you know who opens it?

Our clients send it straight to us and there is no extra charge for that.

What we have found for shop owners who moved to us

Both of these were convenience store clients in South Wales who came to us from another accountant. One had been overpaying for two years and one was ready to open a second site.

Clients described by type. Names withheld.

£10,000of retail rates relief recovered for a franchised convenience store owner
How it was found
He was still paying full business rates through Covid because Cardiff Council required an application and nobody had told him.
What happened
We spotted it in the first meeting and the money came back to him.
One store to fivewith the fee agreed again in writing before each new site opened
How it was found
The owner was deciding on a second lease with no figures showing what each shop actually made after staff.
What happened
Monthly management accounts and one payroll across all sites meant every opening after that was signed off on numbers.

I just want to say a big thank you to Mudassir for all the advice, guidance and help he has provided whilst dealing with my accounts and tax returns. From start to finish the service has been excellent and professional. Unlike other accountancy firms they provide a friendly personalised service, I was very clear on the process and was even provided with additional guidance where needed. Highly recommended!

How switching to us works

You can move mid VAT quarter and you do not speak to your old accountant.

  1. Before you join

    A free introductory chat

Tell us where things stand. If we cannot genuinely help your shop, we will say so.

  2. Week one

    Fee agreed and records requested

We complete your ID checks, put the fixed fee in writing, and send the clearance letter to your current accountant ourselves.

  3. First month

    Past filings gone through properly

We review your accounts, VAT returns and HMRC record. This is where missed reliefs and appealable penalties usually turn up.

  4. By ninety days

    Deadlines mapped and pay sorted

Every VAT, payroll and filing date is diarised for the year, and we talk through how you take money out of the shop.

Who we are not right for

We do not act for CIS construction subcontractors.

We do not take on charities.

We do not take on businesses already late in an HMRC investigation.

If your shop sits outside those three, run the check and we will tell you what we would look at first.

Accountants for convenience stores: questions people ask

What do accountants for convenience stores charge?

We work on a fixed monthly fee agreed in writing before any work starts. It depends on your turnover, whether you are VAT registered, how many transactions come through the till, your payroll headcount and how tidy the records are. Calls, meetings and emails are never charged for, so asking a question costs you nothing.

How do I switch accountants if my VAT quarter is halfway through?

You can move at any point in the quarter. We complete your ID checks, agree the fee in writing, and send the professional clearance letter to your current accountant so they hand over your records directly. You do not have to have that conversation. The handover, Companies House ID verification and Xero migration are free.

What happens if HMRC writes to my shop about VAT?

You send it to us the day it arrives and we deal with it. Tax investigation cover is included free for every client, where other firms sell it as a yearly add-on. Every HMRC investigation we have handled, we have won. We cannot promise an outcome, but you will not be answering HMRC on your own.

Do I have to change my till or bookkeeping software?

No. We work with the till system and records you already have, and we take takings and supplier invoices in whatever form they reach us. If you would rather move to Xero we migrate you free as part of switching. That is a choice, and plenty of shop clients stay as they are.

Can you handle a second or third convenience store?

Yes. Multi site owners get one payroll across all shops, one VAT return where the trade sits in one company, and monthly management accounts that show what each site makes after staff and stock. One of our retail clients went from one store to five with us reviewing the figures before each new lease.

Will you just do my year end accounts as a one off?

No. We work on an ongoing monthly basis covering bookkeeping, VAT, payroll, accounts and corporation tax, because that is where we find the missed reliefs and catch problems early. We also do not take on one off self assessment or capital gains returns. If you want a single filing typed up, another firm will suit you better.
