Accountants for independent retailers who answer the phone and fix the fee

Accountants for independent retailers usually get called the week a VAT letter lands, or the month the till takings and the bank statement stop agreeing.

You have heard the fixed fee line before, then been invoiced for a ten minute call. We agree the fee in writing before we start, and calls, meetings and emails are never charged for. Tax investigation cover is included free for every client.

In one lineSupreme Consultants is an AAT licensed accountancy practice in Cardiff Bay that looks after independent retailers across South Wales, handling bookkeeping, VAT, payroll, year-end accounts and corporation tax on a fixed fee agreed before work starts. Tax investigation cover is included free for every client.

Is your shop in good hands? Three questions.

Answer with the buttons below, no email needed.

Question 1 of 3

Does your accountant reply the same working day?

What you get

Tax investigation cover at no extra cost

Every client has it free, and we carry the cost ourselves. Every HMRC investigation we have handled, we have won.

A fee you know before we start

Agreed in writing, and it stays there for the year. Ring us when the till roll does not add up and it costs nothing.

Margin by shop while you can act on it

Monthly figures show which site and which lines pay their way, so a second shop is a decision made on numbers you have already seen.

What retailers tell us when they first call

Three things we hear most often from shop owners in Cardiff, Newport and Swansea.

  • “I get my accounts nine months after year end, and by then every buying decision is already made.”

That owner priced a whole season on guesswork and carried slow stock into the January sale.

  • “A VAT letter came in about my zero rated food lines and nobody rang me back for a week.”

The question went unanswered until HMRC chased it, which made a short reply into a long one.

  • “There is a carrier bag of till receipts and supplier invoices behind the counter going back to March.”

Nothing was reconciled, so stock walking off the shop floor went unnoticed for two quarters.

  • What changes once we take it on

Takings, card settlements and supplier invoices are reconciled every month, so the VAT return is built from real figures. You see gross margin by shop while the trading year is still running. When HMRC writes, we answer it.

How we compare with the accountant most retailers already have

Plenty of firms file a correct set of accounts. The difference shows up in the months in between.

A year-end only arrangement

Accounts land months after the trading year closed.

A call or an email can appear on the next invoice.

Tax investigation cover is sold to you as an annual add-on.

One total for the business, with margin by site missing.

With Supreme Consultants

Monthly figures you can price and buy stock on.

Calls, meetings and emails are never charged for.

Tax investigation cover is included free for every client.

Mudassir ran the accounts function inside a furniture retailer, and we act for large furniture retail clients today.

Eight questions about how your shop is accounted for

Answer each one yes or no, then bring the no answers to the chat.

  • Do your till takings reconcile to your bank every month?

Unreconciled takings are the first thing HMRC asks about on a VAT check.

  • Do you know your gross margin by shop this quarter?

A yearly figure arrives too late to change your buying.

  • Are your zero rated and standard rated lines split correctly at the till?

A wrong split quietly builds an underpayment across every quarter.

  • Is every supplier invoice captured, including the cash ones?

Missing purchase invoices mean paying tax on profit you never made.

  • Are your shop staff on correct pay rates and pension enrolment?

Payroll errors on part time staff get expensive once they are repeated weekly.

  • Have you applied for every rates relief your premises qualify for?

Some Welsh reliefs need an application and are never applied automatically.

  • Do you have a stocktake figure you trust at year end?

Stock is the number that moves your taxable profit most.

  • Would somebody deal with an HMRC letter for you at no extra cost?

Our tax investigation cover is included free for every client.

What monthly numbers did for one independent retailer

An independent retailer came to us with a single shop, a yearly set of accounts and no view of margin by line. We put monthly management accounts in and sat down with the owner to read them.

Clients described by type. Names withheld.

How it was found
Monthly margin by site showed which ranges earned their shelf space and which were tying up cash.
What happened
Each new shop was opened on figures the owner had already seen, with VAT, payroll, bookkeeping and accounts handled in one place.

I just want to say a big thank you to Mudassir for all the advice, guidance and help he has provided whilst dealing with my accounts and tax returns. From start to finish the service has been excellent and professional. Unlike other accountancy firms they provide a friendly personalised service, I was very clear on the process and was even provided with additional guidance where needed. Highly recommended!

How switching to us works

Most of it happens without you doing much more than saying yes.

  1. Before you join

    A free introductory chat

Tell us where things stand. We will be straight about whether we are the right fit, and if we cannot help we will say so.

  2. Week one

    Fee agreed and handover started

We complete your ID checks, put the fixed fee in writing, and write to your current accountant for your records so you do not have that conversation.

  3. First month

    Your past filings reviewed

We go through old accounts, VAT returns and your HMRC record. This is where missed reliefs and payments on account set too high usually turn up.

  4. By ninety days

    Every deadline mapped for you

VAT, payroll, accounts and corporation tax are diarised for the year. We also talk through how you pay yourself out of the shop.

Who we are not right for

We do not take on CIS construction subcontractors.

We do not act for charities.

We do not take on businesses already late into an HMRC investigation.

If your shop sits outside those three, run the check and we will tell you what we would look at first.

Accountants for independent retailers: questions people ask

How much do accountants for independent retailers charge?

We work on one fixed monthly fee, agreed in writing before any work starts. What sets it is your turnover, whether you are VAT registered, how many transactions and staff you have, and the state of your records. We quote after the introductory chat rather than guess, and calls, meetings and emails are never billed on top.

Can you take over from my current accountant part way through the year?

Yes, and most retailers join mid year. We write to your existing accountant for professional clearance and your records, so you do not have to make that call. We then get authorised as your agent with HMRC and Companies House, handle Companies House ID verification free where it is needed, and give you a free first month.

What happens if HMRC writes to my shop about VAT?

You send it to us and we deal with it. Tax investigation cover is included free for every client, and we carry that cost rather than selling it as an add-on. Every HMRC investigation this firm has handled, it has won. Bring it to us early, because the sooner we see the letter the more we can do with it.

Do I have to change my till system or bookkeeping software?

No. We work with the system you already run behind the counter and take the data out of it. If you would rather move to Xero, migration is free when you join, and we will set up the chart of accounts so your product categories and VAT rates come through correctly from day one.

Do you work with independent retailers outside Cardiff?

Yes. We are based at Titan House in Cardiff Bay and act for retailers across Newport, Swansea, Caerphilly, Port Talbot, Barry and Bristol over the bridge, plus clients elsewhere in the UK. We work remotely, in person at the office, or a mix of the two, whichever suits how your shop runs.

Can you just do my year-end accounts as a one-off?

We only work on an ongoing monthly basis, so we do not take on one-off self assessment or capital gains returns. That is because the value for a retailer sits in the months between year ends, when the margin numbers and the VAT treatment can still be changed. Company formations are for clients engaging us going forward.
